This policy covers auroravb.com, operated by Aurora Volleyball Club, Inc., a 501(c)(3) nonprofit based in Fort Wayne, Indiana. It explains what information we collect, how we use it, and how to ask us to delete it.
Information we collect
Tryout registration
Parents or legal guardians complete the tryout registration form for the player. It collects:
- Player: name, date of birth, age group, school, grade, shirt size, positions and other details needed to run tryouts.
- Family contact: home address, parent/guardian names, phone numbers and email addresses.
- Emergency contacts: names and phone numbers.
- Medical and insurance information: insurance details, physician, preferred hospital, and allergy or medical-condition details.
- Release/waiver: a typed name, acceptance and a guardian signature.
Registration records are stored on our website. We use this information to run tryouts and teams, to contact families, and to respond in an emergency. When a registration is submitted, we email a notification to our tryouts mailbox and a confirmation to the guardian email address provided. The release/waiver gives the club permission to use photos and video of players for promotion, including on social media and this website; to ask about a photo or video, contact us.
Payments
Payments, including tryout fees and Pro Shop purchases, are processed by Stripe, a third-party payment service. You enter card details on Stripe’s payment forms, and this website does not store your card number. For Pro Shop orders, the website stores the order details you provide, such as items ordered, name, email address, phone number and billing or shipping address. Stripe’s handling of payment information is described in Stripe’s own privacy policy.
Contact form and email
If you use our contact form or email us, we receive the information you send (such as your name, email address and message) and use it to reply. Club email is handled through Google Workspace (Gmail).
Cookies, analytics and advertising
auroravb.com uses these third-party tools, which may set cookies or similar identifiers in your browser:
- Meta Pixel, which lets us measure the results of our Facebook and Instagram advertising and may record visits to our pages and actions such as completing a registration or a shop purchase.
- Our custom registration tracking also uses Meta’s Conversions API to send a registration event from our server, including the event time, registration-page URL, IP address, browser information and Meta cookie identifiers when present. This custom integration does not send registration-form answers.
- Google Analytics (through Google Site Kit and MonsterInsights), which helps us understand how visitors use the site. Google advertising and demographics features are enabled in our analytics configuration.
Meta and Google handle that data under their own privacy policies. You can block or delete cookies in your browser settings, and content blockers may limit these tools, although browser ad blockers may not stop server-side tracking. The site does not currently show a cookie-consent banner.
Social media and the Aurora Volleyball Social app
We have Facebook, Instagram and TikTok accounts, which have their own privacy policies. The club uses a Meta app named “Aurora Volleyball Social” only for the club’s own advertising management and aggregate reporting, and to manage the club’s own Facebook Page and Instagram account. The app has no user login, and we do not collect personal information about Facebook or Instagram users through it.
Children
Our athletes are ages 12–17. Information about minors is provided by their parents or legal guardians through registration, and children should not submit forms on their own. If you believe a child has sent us information without a parent or guardian, contact us and we will work with you to address it.
How long we keep information
We have not yet established a fixed retention schedule. To request deletion of information about you or your player, contact us using the instructions below.
Data deletion and requests
To ask what information we hold about you or your player, to correct it, or to request that we delete it, email [email protected] with your name, your player’s name if applicable, and what you are asking for. You may also use this address for requests concerning the Aurora Volleyball Social app. We may need to confirm who you are first, and we may need to keep some information where it is required for legal or insurance purposes. Information held by Stripe, Meta, Google or other third parties is governed by their own policies and requests to them.
Changes to this policy
We may update this policy and will post the new version on this page with a new “Last updated” date.
